Our data practices may be updated as we add features, change infrastructure, or refine how the Service works. By using Protoboard during the alpha period, you accept that this policy may be updated at any time. {% endhint %} This Privacy Policy describes how Delta Robotics Inc. ("Delta Robotics," "we," "us," or "our") collects, uses, shares, and protects information when you use the Protoboard platform, including the website at [protoboard.xyz](https://protoboard.xyz), the application at [alpha.protoboard.xyz](https://alpha.protoboard.xyz), the documentation site at [docs.protoboard.xyz](https://docs.protoboard.xyz), and any related services (collectively, the "Service"). By accessing or using the Service, you agree to the practices described in this policy. If you do not agree, you should not use the Service. ## Information we collect We collect information in the following categories: ### Account information When you create a Protoboard account, we collect: * **Name and email address** provided during registration * **Profile avatar** if you upload one * **Authentication credentials** managed through Firebase Authentication (Google Cloud) ### Board data When you use Protoboard, we store the content you create, including board designs, part configurations, connections, BOM data, concept images, and project metadata. **Free tier visibility:** During the alpha period, boards created on Free-tier accounts are publicly accessible. Delta Robotics may share, display, or reference Free-tier board data for product demonstrations, marketing, documentation, and community showcases. If you require your boards to remain private, upgrade to the Pro tier. See our [Terms of Service](/legal/terms.md) for full details. ### AI interaction data When you use ProtoBot (our AI assistant), we collect: * Prompts and messages you send to ProtoBot * ProtoBot responses * The AI model you selected for each interaction * Board context sent alongside your prompts (part data, connections, and other design details relevant to your request) ### Payment information If you subscribe to a paid plan or purchase energy top-ups, our payment processor Stripe collects: * Billing name and address * Payment card details (processed and stored by Stripe; we do not store full card numbers) * Transaction history and subscription status ### Usage data We automatically collect standard usage and technical data when you access the Service, including device information, browser type, IP address, and general interaction patterns. This data is collected through Firebase Analytics (Google Cloud) and helps us maintain, improve, and secure the Service. We do not use advertising cookies or third-party ad trackers. ### Feedback If you submit feedback, feature requests, or bug reports through our in-app tools, we collect the content of those submissions along with your account identifier. ## How we use your information We use the information we collect to: * **Operate and maintain the Service**, including storing your boards, running the Design Rule Check (DRC) engine, and rendering your canvas * **Power AI features** by sending board context and your prompts to third-party AI providers (see the AI-specific disclosures section below) * **Process payments** for subscriptions and energy purchases through Stripe * **Send transactional communications**, such as account verification emails, password resets, and billing receipts, through our email provider Resend * **Analyze usage patterns** to improve features, fix bugs, and plan product development * **Provide customer support** and respond to your inquiries * **Enforce our terms of service** and protect against fraud, abuse, and security threats * **Comply with legal obligations** as required by applicable law ## AI-specific disclosures This section describes how your data interacts with artificial intelligence systems. Because ProtoBot is a core feature of Protoboard, we believe transparency about AI data handling is essential. ### How ProtoBot processes your data When you use ProtoBot, the Service sends your prompts and relevant board data (part configurations, connections, harnesses, and other design context) to third-party AI model providers for processing. ProtoBot supports multiple AI models, and you choose which model to use through the model selector in the application. ### Third-party AI providers We currently use the following AI providers: | Provider | Models | Data retention | Training policy | | ------------- | ------------- | --------------------------------------------- | -------------------------------------------------- | | **Anthropic** | Claude models | Up to 30 days for trust and safety monitoring | API data is not used for model training by default | | **OpenAI** | GPT models | Up to 30 days for abuse monitoring | API data is not used for model training by default | | **Google** | Gemini models | Limited retention for abuse detection | Paid API data is not used for model training | Each provider's data handling is governed by their respective API terms of service and data processing agreements. Retention periods and policies are subject to change by these providers. ### Our commitments regarding AI data * Delta Robotics does not use your board data or prompts to train AI models. * We send only the data necessary to fulfill your ProtoBot request to the selected AI provider. * You control which AI model processes your data through the model selector. * AI interaction logs stored on our systems are retained for up to 30 days, then deleted. ### Server-side web search ProtoBot's research features use Exa, a server-side web search service, to retrieve publicly available information from the internet. Search queries derived from your prompts may be sent to Exa for this purpose. Exa does not receive your board data. ### Shared boards When you share a board using a share link, your board data is synchronized to cloud storage and becomes accessible to anyone with the URL. You control who receives the link. Delta Robotics is not responsible for how recipients use or further distribute board data you make available through sharing. ## Information sharing and disclosure We do not sell your personal information. We share information only in the following circumstances: ### Service providers We work with third-party service providers to operate and improve the Service. These providers receive only the data necessary to perform their function on our behalf: * **Cloud infrastructure, authentication, and analytics** (Firebase / Google Cloud Platform) * **AI model processing** (Anthropic, OpenAI, Google; see AI-specific disclosures above) * **Payment processing** (Stripe) * **Transactional email** (Resend) * **Feedback collection** (Featurebase) * **Web search for AI features** (Exa) We do not share your data with these providers for their own independent use. ### Legal requirements We may disclose your information if required to do so by law, or if we believe in good faith that such disclosure is necessary to: * Comply with a legal obligation, subpoena, or court order * Protect and defend the rights or property of Delta Robotics Inc. * Prevent fraud or address security issues * Protect the personal safety of users or the public ### Business transfers If Delta Robotics Inc. is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the Service before your information becomes subject to a different privacy policy. ### With your consent We may share your information for other purposes when you provide explicit consent. ## Data retention We retain your information for as long as your account is active or as needed to provide the Service. When you delete your account, we initiate deletion of your personal data within 30 days. Some data may persist in encrypted backups for up to 90 days before being permanently removed. We may retain certain data longer when required by law (for example, financial records for tax compliance) or when necessary to protect our legal rights. ## Your rights under state privacy laws If you are a resident of California, Colorado, Connecticut, Virginia, or another state with comprehensive privacy legislation, you may have the following rights: ### Right to know You have the right to request that we disclose what personal information we collect, use, and share about you. The "Information we collect" section of this policy provides a detailed summary. ### Right to delete You can request that we delete the personal information we have collected from you. To delete your account and associated data, use the account deletion feature in your account settings or contact us at the email address listed below. Note that some data may be retained as described in the data retention section, or as required by law. ### Right to correct You can request correction of inaccurate personal information. You can update your name and avatar directly in your Protoboard account settings. For other corrections, contact us. ### Right to opt out of sale or sharing We do not sell your personal information, and we do not share your personal information for cross-context behavioral advertising. Because we do not engage in these practices, there is no need to opt out. ### Right to non-discrimination We will not discriminate against you for exercising any of your privacy rights. You will not receive different pricing, quality of service, or access to features based on whether you exercise these rights. ### Right to data portability You can request a copy of your personal data in a portable format. Board data can be exported through the Service's built-in export features (BOM to CSV/PDF, board data download). For other data portability requests, contact us at the email address listed below. ### How to exercise your rights To exercise any of the rights described above, email us at . We will verify your identity before processing your request, typically by confirming the email address associated with your account. We aim to respond to all requests within 45 days. ## Cookies and tracking technologies The Service uses cookies and similar technologies for authentication, security, and analytics. We do not use advertising or behavioral tracking cookies. You can manage cookies through your browser settings. Disabling cookies may affect your ability to use certain features, particularly sign-in. ## Children's privacy Protoboard is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, contact us at , and we will promptly delete that information. Additionally, users under 16 are not permitted to use AI-powered features (ProtoBot) or paid subscriptions. See our [Terms of Service](/legal/terms.md) for details on age requirements. ## Data security We implement reasonable technical and organizational measures to protect your information, including encryption in transit (HTTPS/TLS), database access controls, and secure storage of sensitive credentials. No method of electronic transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. ## International users Protoboard is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored in, and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Service, you consent to this transfer. If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, we rely on your consent and, where applicable, Standard Contractual Clauses to transfer your data to the United States. ## Third-party links and services The Service may contain links to third-party websites or services, including our Discord community. This Privacy Policy does not apply to those third-party services. We encourage you to review the privacy policies of any third-party service you visit. ## Changes to this policy We may update this Privacy Policy from time to time. When we make material changes, we will notify you by: * Sending an email to the address associated with your account, or * Displaying a prominent notice within the Service The "Last updated" date at the top of this page reflects the most recent revision.
